Information we may collect

We may collect the details you give us when you make an enquiry or booking, such as your name, email address, telephone number, preferred date, group size, event requirements and messages. We may also receive technical information needed to deliver and protect the website, including device, browser, approximate location, security and request-log information. If optional analytics is enabled and you allow it, we may receive aggregated information about how visitors use the website.

How we use personal information

We use personal information to answer enquiries, assess availability, discuss and administer bookings, provide requested services, keep appropriate business and financial records, protect the website, prevent misuse, understand service performance where permission has been given, and meet legal or regulatory duties. We do not use the booking form to take payment unless the form clearly says otherwise.

Our lawful bases

Depending on the activity, we rely on steps requested before entering a contract, performance of a contract, compliance with a legal obligation, and legitimate interests such as answering enquiries, running the venue or service, maintaining records and keeping systems secure. Optional analytics relies on consent and stays off unless you choose to allow it. You may withdraw that analytics choice at any time.

Who we may share information with

We may share only the information needed with people who help operate the service, authorised staff, website and hosting providers, email and calendar providers, professional advisers, payment providers where relevant, and public authorities where the law requires it. Service providers must handle information for the agreed purpose and protect it appropriately. We do not sell personal information.

International processing

Some technology suppliers may process information outside the United Kingdom. Where that happens, the controller must use an appropriate UK transfer safeguard or another lawful transfer mechanism, and should keep supplier arrangements under review.

How long information is kept

Information is kept only for as long as it is reasonably needed for the purpose collected, including handling an enquiry or booking, resolving a concern, maintaining security, and meeting tax, accounting, insurance or other legal requirements. Different records can have different retention periods. Information that is no longer required should be deleted or anonymised.

Where processing is based on consent, you may withdraw it without affecting earlier lawful processing. Identity may need to be confirmed before a request is completed.
